Click Invoice Reader in the sidebar

Choose PDF / Image to upload a file, or Paste Text to copy from email or browser

Click ✦ Read Invoice with SuppliQ — takes 5–10 seconds

Review the extracted products, then click Add All to Inventory →
💡 PDF files give the best results. Screenshots and phone photos also work. Paste text from email as a fallback.
⚠️ If a duplicate invoice is detected you'll see a warning before adding — always review before clicking OK.

Products are grouped by category — click any category header to expand or collapse it

Click any product row to open its detail drawer — price history, order history, chart, and stock estimate

Hover a row to see the ✎ pencil icon — click it to rename a product or supplier inline

Click ✕ on any row to remove a product from your formulary
💡 Urgent items (red) always appear first within each category so you never miss a critical low-stock item.
💡 Product names are automatically normalized — minor capitalization or punctuation differences in invoices won't create duplicates.

Alerts are calculated automatically from your order history — no manual setup needed

The system measures your average reorder cycle per product and counts down from your last order date

Red = ~7 days or less · Amber = 8–14 days · Green = 15+ days

Needs 2+ invoices per product to activate — the more you add, the more accurate it becomes
💡 Snooze alerts: If an alert fires but you still have stock, open the product drawer and click Snooze 1 / 2 / 4 weeks. Each snooze gently adjusts the usage estimate slower — the system learns your actual consumption rate over time.
💡 Reset tuning: If the estimate drifts too far, click Reset in the product drawer to start fresh from your raw order history.

Monthly Spend — green bars are down vs prior month, red bars are up. Helps spot seasonal patterns.

Price Volatility — the dot on each range bar marks your average price. If the dot is near the high end, you're consistently buying at peak price.

Where your data lives
DentalSuppliQ stores all your data in this browser only — not on a server. This means:
• Clearing your browser cache → data gone
• Switching to a different browser → data gone
• Using a different computer → data gone

The Export button is your safety net. Use it often.

Click ↓ Backup in the sidebar to download a complete backup file to your computer

Save it somewhere safe — a folder called DentalSuppliQ Backups on your desktop or iCloud works well

Click ↑ Restore and select your backup file — you'll be asked how to import it
Two import modes
Merge — recommended
Adds new data without touching what you already have. Perfect for combining data from two computers — like processing invoices at work and importing them at home. Duplicate invoices are automatically skipped.
Replace — full restore
Overwrites everything with the backup file. Use this when you've cleared your browser or switched devices and need to restore from scratch.
💡 Cross-device workflow: Backup from your work computer → email the file to yourself → open at home → Restore with Merge. Your data combines seamlessly.
⚠️ Backup after every session. One click protects everything — your inventory, invoices, price history, and usage tuning.
Price Watch automatically finds products where you're paying more than necessary — either by ordering the same product from different suppliers at different prices, or by identifying similar products that might be the same thing.

Price Comparisons — when you order the same product from two or more suppliers, Price Watch automatically groups them and shows the price difference. Products are ranked by savings opportunity — "Big wins" are items where you're paying 30%+ above the best price, "Opportunities" are worth switching but have a smaller gap.

Possible Matches — Price Watch scans your inventory for products that look similar but have different names, like the same sterilization pouch from two suppliers named differently on each invoice. It shows them side by side and asks you to decide.

They're different products — tells the system not to suggest that pair again
Dismiss — hides the suggestion without making a decision

Sidebar badge — the green dollar amount next to Price Watch shows your total estimated annual savings if you always bought from the cheapest supplier. It updates automatically as you parse new invoices.
💡 Price Watch gets smarter as you parse more invoices. The more order history you have, the more accurate the savings estimates become.
